Zimbra shared folders: Anyway to stop them downloading/synching with Connector?

Post by nickl99 »

Am i the only one that thinks Zimbra shared folders have one huge inherent flaw when used within Outlook with ZCO?
YOu can share any folder with anyone, and straight away that person will start downloading that folders entirety. They dont get the option. A zdb is born and download begins. Even if its 100GB BAM, they have to download it.
We have used shared resource folders as exchange public folder equivalent.
100 GB migrated overnight and now every employee is downloading these when they open outlook. I cant find a way to stop Shared folders from downloading/synching using the Zimbra connector. This company have not taken nicely to the idea of being forced to use webmail. They all hold dearly to their Outlook.

Shared folders are only downloaded if you've opted to accept a shared folder in that mailbox.

The limitation in ZCO, as you rightly recognize, is that you can't opt to partially download a shared mailbox (other than by configuring a profile to Download Headers only - see the Download settings tab in the Account Settings). So if you opt to accept a shared folder then you get everything in that mailbox that's been shared.
There's a request in to provide a selective download of shared mailboxes (see Bug 84320) but until we get that I think we'd have to recommend subdividing the mailbox into more manageable chunks.
As an end user, if you need to stop a shared mailbox from downloading then close the mailbox (either via a right click on the mailbox in the Navigation Pane, or by unchecking the corresponding entry in Zimbra's Share Status list).
If you need to stop the folder download for a large number of users then it makes sense for the mailbox owner to stop sharing the folder(s) in question.

IMO this is a big disadvantage to exchange Public folders which arent cached.
We have been trying to push the positives of Zimbra but so far their business case for using Outlook has been strong, and now they want to go back to exchange because 30 ppl all need access to shared folders but dont want to download 20GB each. All of them logging onto one Terminal server all of a sudden we need 600GB of hard drive space is causing headaches all round.
Please fix resource/shared folders with the ZCO. also they wont accept headers only.

If you think this is a problem then you need to file a bug report or RFE (search bugzilla first), these are Community support forums not official Zimbra support.

Will do thanks. I was looking for a hack/fix before these clients go back to exchange.
